1. Provider and acceptance
Travel CEO Support is provided by [LEGAL COMPANY NAME], located at [BUSINESS MAILING ADDRESS] ("Provider," "we," "us"). These Terms, the signed service order and the Cancellation Terms govern virtual assistant services purchased by the business identified in the order ("Client," "you").
You accept these Terms by signing or expressly accepting the applicable order and policies. A signed, specifically negotiated order controls any conflicting general term, subject to applicable law.
2. Purpose and supported platforms
We provide implementation and recurring administrative support to help travel agency owners operate a leader-led business. Work may be performed in TravelJoy, WeTravel, SquadTrip, Keap, The CEO Command Suite and other expressly agreed tools.
Features depend on each platform and your subscription. You supply the required subscriptions. Travel CEO Support does not include a subscription to The CEO Command Suite unless your order expressly says otherwise. We are not affiliated with or endorsed by the platform providers named above unless stated in writing.
3. Packages and pricing
All fees are in U.S. dollars. Any applicable taxes and third-party charges will be disclosed in your order.
A twelve-month commitment waives the setup fee. A six-month commitment does not receive a setup discount. Any other promotion must be stated in writing.
The setup fee is payable before setup work begins. Monthly fees are paid in advance on the dates stated in your order.
Your payment authorization will separately identify recurring charges and the renewal arrangement.
4. Selected support areas
Your package lets you select a set number of support areas from one shared menu:
- Automations and workflows
- Email sequences and scheduling
- Social media scheduling
- Forms and client onboarding
- Landing and sales pages
- CRM upkeep
- Customer service
- Invoicing and payment follow-up
All selected areas share one monthly allocation of hours. Selections give access to scoped work — not unlimited deliverables or guaranteed quantities of pages, forms or automations. Work in a service area is assigned only to a VA who has demonstrated readiness in that area.
5. Scope and client responsibilities
Your monthly plan identifies priorities, deliverables, approvals and estimated effort. You agree to provide accurate business instructions, timely access, and approved copy, offers, images and assets, and you confirm you hold the permissions needed to use them. Light formatting and editing are included.
Not included unless separately scoped in writing
- Extensive original copywriting or design
- Paid-ad management
- Custom coding, advanced integrations or full custom websites
- Professional legal, tax or accounting advice
- Continuous, after-hours, weekend or same-day emergency coverage
- Unauthorized refunds, booking decisions or handling of client funds
Work in support areas you have not selected requires an agreed scope change. Platform features, outages and pending approvals can affect delivery; we will tell you about changes to agreed deadlines.
6. Approvals before release
We will not publish or activate new or materially changed emails, sequences, social posts, sales pages, forms, or automations that affect your customer communications, payments or data until you give explicit approval.
- Invoice amounts, payment terms, refunds and exceptions also require your authorization.
- Routine work may proceed under a documented standing approval you provide — for example, approved customer-service templates or payment reminders.
- Work that needs approval stays on hold until approval is received. Silence does not count as approval.
7. Hours, calls, time tracking and additional work
Monthly hours cover calls, client-specific call preparation and follow-up, reporting, coordination, implementation, testing, revisions and maintenance. Each request includes two revision rounds, and revision time uses your monthly hours. For example, four 30-minute calls use two hours.
Time tracking: time is tracked to the exact minute and totaled from actual time. Small tasks are not rounded up. Records show the date, task, support area and duration.
Not charged to you: internal staff training, VA replacement training and internal handovers, and correction of errors caused by Provider.
No rollover: unused hours expire at the end of each service month. Monthly allocations are not guaranteed weekly allocations.
Usage alerts: we notify you at about 75% and 90% of your hours. Alerts do not stop work; work continues until the allocation is used, then pauses unless you approve more time.
Additional hours: $25 per hour, only with your written approval of the scope and authorized amount before work begins.
8. Communication and reporting
Response standard: human responses to inquiries, client messages and qualified Discovery Call invitations within 48 business hours. This is a response standard, not a task-completion guarantee. Task deadlines are agreed in your work plan.
Business hours: [INSERT APPROVED HOURS, TIME ZONE AND HOLIDAYS]. After-hours coverage must be separately agreed.
Weekly report: a written update every Friday by 3 p.m. Eastern. If Friday is a company holiday, the report is sent on the preceding business day with the earlier reporting cutoff noted.
Monthly summary: within three business days after each service month ends.
Calls: arranged during onboarding and counted toward your hours.
9. Service start
Your first service month begins on the confirmed start date once all five requirements are complete:
- Signed agreement
- Payment
- Completed onboarding form
- Required access provided
- Assigned VA
Setup is separate from the service month. Your signed service documents control the exact timing.
10. Commitment, renewal and plan changes
Minimum commitment: ongoing monthly support has a standard minimum commitment of three months. Six- or twelve-month commitments apply only when expressly selected in your order. Monthly billing is a payment schedule and does not make the agreement month-to-month.
Renewal: after your initial commitment, your plan renews automatically at the same commitment level for a further term of [INSERT RENEWAL TERM]. Renewal timing, notice requirements and the cancellation method are stated in your order and the Cancellation Terms and are authorized before acceptance.
Upgrades: you may upgrade during a commitment, normally effective the next service month. If you need more support immediately, you may approve additional hours at $25 per hour. An upgrade does not automatically reset your commitment end date; any agreed change is documented in writing.
Downgrades: take effect at renewal unless an exception is approved in writing.
No unilateral increase in a signed commitment is authorized by these Terms.
11. Travel VA Fit Trial
The Travel VA Fit Trial is a one-time fit experience: $297 for 30 days and 12 hours, with free basic setup and up to two support areas within the limited trial scope. Calls use the 12 trial hours. It is not an ongoing hourly offer.
Not included: deep strategy, full system cleanup, complex automations, funnel builds and advanced implementation.
No automatic conversion: the trial will not automatically convert to a monthly plan, and you will not be charged for monthly support without your authorization.
Transition: you may indicate a preferred package at trial signup. We schedule a fit review around day 21 and aim to finalize your package and commitment by about day 25. Monthly service can begin on day 31 once the agreement, payment and required access are complete.
Setup fee after the trial: the standard package setup fee applies when you move to a monthly plan, except when a twelve-month commitment waives it. Any credit for setup work already completed during the trial is at Provider's discretion and confirmed in writing.
Trial refund treatment is described in the Cancellation Terms.
12. VA assignment and coverage
VAs are screened before assignment and receive work in a service area only after demonstrating readiness for it.
If your assigned VA is unavailable, a qualified, pre-approved backup may provide temporary coverage. We will notify you, and backup access is limited to what the work requires.
Permanent VA replacements are approved by Provider's owner. Replacement training and internal handover do not reduce your hours.
13. Confidentiality, access and work product
Each party protects the other's nonpublic business information and uses it only for the service relationship, except as legally required or expressly authorized. Access is limited to assigned personnel and necessary service providers under appropriate confidentiality duties.
Please use individual account invitations and least-privilege permissions where available. Credentials must be shared only through an agreed secure method. Do not send passwords, full card details, passport scans or health information through general forms or ordinary email.
After payment, client-specific deliverables created for your order belong to you, subject to third-party licenses and Provider's pre-existing tools, templates and methods. Provider grants the permissions needed to use any embedded Provider materials for your business. Client data handling is described in our Privacy Policy and any required data-processing agreement.
14. Service end and handover
Access removal is coordinated at the end of service.
Within three business days after service ends, you receive your final files, a work-status summary and a handover.
We do not delete client-owned CRM accounts, forms, pages or automations. Return or deletion of our working copies follows the service order and any data-processing agreement.
Cancellation, refund and early-termination procedures are described in the Refund and Cancellation Policy.
15. Concerns, credits and exceptions
If something is not right, contact us at [BUSINESS EMAIL]. Your concern will be acknowledged, investigated and documented. Credits, refunds and contractual exceptions are approved only by Provider's owner and confirmed in writing. Security concerns are escalated immediately.
16. Changes, governing law and contact
Scope and package changes require written agreement. Material changes to pricing or commitment terms require advance disclosure and legally sufficient authorization. Nothing in these Terms limits rights or remedies that cannot legally be waived.
